Tableau: Create and Modify Data Extracts | Fundamentals

Now you have a dataset with sales data from around the world, but you want to create a view that displays only the data for each state in the United States. To do this, you need to create a filtered extract specifically for the U.S., including the State field. You can use the "Number of Records" worksheet to verify that your filtering is working correctly. Good luck!


Open the starter file in Tableau.


Review the grand total on the Number of Records Worksheet and open the Extract Data dialog box. 

  1. Click the Number of Records tab to navigate to that worksheet.

  2. Note how many records are listed in the grand total on the Number of Records worksheet.

  3. Open the Data menu and select the Orders (Superstore Sales Training) data source.

  4. Click Extract Data.

Configure the extract to show aggregated U.S. Country / Region data for visible fields per year and hide unused fields. 

  1. Under Filters, click Add, and in the Add Filterdialog box, select Country / Region, click OK, select United States of America data only, and then click OK.

  2. Choose Aggregate data for visible dimensions.

  3. Choose Roll up dates to Year.

  4. Click Hide All Unused Fields.

  5. Click Extract.

  6. Note that the number of records has changed.

In the Geographic Sales worksheet, temporarily switch back to the live data, unhide State, and add it to the view. 


  1. Click the Geographic Sales tab to navigate to that worksheet. Notice that the State dimension is no longer available because it was hidden as part of the extract.

  2. Open the Data menu, select the Orders (Superstore Sales Training) data source, and then click Use Extract to deselect the option to switch back to the live data.

  3. Open the Data pane menu and click Show Hidden Fields.

  4. In the Data pane, right-click State, and then click Unhide.

  5. From the Data pane, drag State to Detail on the Marks card.

Overwrite the existing extract by creating a new extract that now will include State. 

  1. Open the Data menu and select the Orders (Superstore Sales Training) data source.

  2. Click Extract Data.

  3. In the Extract Data dialog box, click Extract to save over the existing extract file.


You learned how to create a separate version of your data called an extract. 


Extracts can be useful in specific situations to improve the speed and security of your data, simplify the data shown in your views, and make your workbooks more portable. 


You also learned how to apply filters to extracts and update them when the underlying data changes.
